How to Plan Your Event Photography Timeline: A Step-by-Step Guide for Olongapo and Subic Bay Event Organizers

Most clients contact us two weeks before their event and expect everything to fall into place.

Some of it does. But the best photo results come from clients who thought about photography before the invitations went out — not after.

Here's the timeline we work with for every event we photograph in Olongapo City, Subic Bay, and Zambales.

8+ Weeks Before: Book Your Photographer

This is the first and most important step.

For corporate events, Christmas parties, debut celebrations, and weddings, we recommend reaching out at least two months in advance. For November and December events, this means September at the latest.

When you inquire, have these ready:

  • Your event date and start time
  • Venue name and address
  • Event type (corporate dinner, birthday party, debut, etc.)
  • Estimated guest count
  • Any special moments you want captured (keynote speeches, cake cutting, award presentations)

The more specific you are upfront, the faster we can confirm availability and put together the right package.

6–8 Weeks Before: Confirm Your Package and Send a Deposit

Once you've decided to work with us, a deposit secures your date. This is non-negotiable — a confirmed booking requires a confirmed deposit.

During this phase, we'll discuss:

  • Hours of coverage needed
  • Number of photographers (single or dual photographer setup for larger events)
  • Deliverables (edited digital photos, turnaround time, any albums or prints)
  • Any specific shot lists or group photo requirements

Get these details locked in now. Changes two weeks before the event are possible but increasingly difficult to accommodate.

4 Weeks Before: Share the Event Schedule

Send us your running order.

If it's a program-driven event — a debut program, a recognition ceremony, a product launch — we need to know the sequence of events in advance. This allows us to position ourselves in the right place at the right time.

理想的に, we want to know:

  • What time vendors and VIPs arrive
  • When the program formally starts
  • Key moments (speeches, awards, cake cutting, first dance)
  • When the program ends vs. when social time begins
  • Any surprise elements we should be ready for

If there are people you specifically want photographed — executives, awardees, special guests — flag them for us. We can't promise we'll catch everyone in the crowd, but we can prioritize.

1 Week Before: Final Walkthrough and Confirmations

One week out, we confirm:

  • Exact arrival time (we typically arrive 30 minutes before the event starts)
  • Point of contact on-site
  • Parking situation at the venue
  • Any last-minute schedule changes
  • Emergency contact numbers

If your venue has restricted access or requires vendor passes, sort those out now. We can't photograph your event if the venue security doesn't let us in.

Day Before: Light Preparation

We handle our own equipment preparation, but it helps if you:

  • Confirm the venue lighting hasn't changed (some venues adjust their setups)
  • Let us know if any decor has been added that might affect sightlines
  • Make sure the designated photo areas are clear

Day Of: Our Job Starts 30 Minutes Early

We arrive 30 minutes early to:

  • Scout lighting conditions
  • Set up equipment
  • Find optimal positions for key moments
  • Take detail shots before guests arrive

This 30-minute early arrival is built into every package. You don't need to plan for it — just know that we're there.

During the event, we work unobtrusively. We don't direct unless asked. We capture candid moments as they happen and coordinate group photos at natural breaks in the program.

Within 24 Hours: Proof Set (Optional Add-On)

For clients who need fast turnaround — same-day social media posts, immediate press releases — we offer a same-day proof set of selected highlights. This is an add-on service, not included in standard packages, but it's available for most events.

Ask about it when booking if same-day delivery matters to you.

1–2 Weeks After: Full Edited Gallery Delivery

Standard delivery for most events is 7 to 14 days. During peak season (November–December), delivery may run toward the 14-day mark.

You'll receive:

  • A full gallery of edited digital photos
  • High-resolution files suitable for printing and sharing
  • A private online gallery link for easy download and sharing

We don't deliver raw files. Every photo in your gallery has been reviewed and edited for color, exposure, and composition.

What This Timeline Looks Like in Practice

Here's a real example for a corporate Christmas party on December 15:

  • October 1: Client inquires, shares date and venue
  • October 8: Deposit paid, package confirmed
  • November 15: Event schedule shared (6 PM arrival, 7 PM program start, 9 PM social)
  • December 8: Final confirmation and walkthrough
  • December 15, 5:30 PM: We arrive at the venue
  • December 22: Full gallery delivered

That timeline works because both sides did their part. The client planned ahead. We showed up ready.

The Clients Who Get Frustrated

The ones who contact us December 10 for a December 20 event and expect the same experience.

We can usually still help — but the timeline compression means:

  • Less time to coordinate specific shots
  • Potentially fewer package options available
  • Faster delivery might not be possible

Photography is one of those services where the planning directly affects the outcome. The more runway you give us, the better your results.
